What kind of information/evidence should I submit?
Your evidence can include a range of materials such as written documents, photographs, certificates, toolkits and other supporting documents that demonstrate your practice.
Please note: photographs are limited to a maximum of two per section due to storage capacity.
1. Is there a limit to how much evidence I can submit?
Yes. Photographs are limited to two per section due to storage constraints.
There is no set limit on text-based evidence; however, all information submitted should be relevant and clearly support your application.
Where possible, we recommend copying images into a Word document before uploading. This can help reduce file size and allow you to include more supporting evidence within a single document.
2. How many words do I need to write and what should it include?
There is no fixed word count, as this will vary depending on your setting.
Your response should clearly describe:
- How you meet each statement
- Any changes or developments you have made
- The impact on your children, cohort or provision
3. How long will it take to complete the submission?
This will vary depending on the amount of evidence you wish to include and the time you spend on the platform.
If you have prepared your evidence in advance, you may be able to complete the submission in one session. However, most applicants complete it over several weeks or months, returning to add evidence as needed.
4. I’m struggling to upload evidence – what should I do?

5. Do I need to complete everything at once?
No. You can upload and save your evidence gradually. Your progress will be saved, and you can return to your submission at any time.
6. What happens when I submit my evidence?
Once you submit your evidence, a member of the Inclusion Team will contact you within 8 weeks.
They will arrange a visit to your setting to verify that the evidence submitted reflects your everyday practice. The number of visits may vary depending on the evidence provided and the size of your provision.
7. How often do I need to submit evidence to maintain my Champion status?
Your Inclusion Champion Award is valid for three years.
We recommend beginning your renewal process during year two to ensure continuous Champion status.
